Privacy policy

This policy explains what personal data Viribus collects through this website, why, and what you can ask of us.

Who we are

What we collect

• When you use the contact form: your name, email address, company (optional) and your message.
• When you visit: our host, Cloudflare, processes your IP address and browser details to deliver the site and protect it against abuse.

To see how the site is used, we use Cloudflare Web Analytics. It sets no cookies, does not track you across sites and does not build a profile of you: it only counts page views, referring pages, countries and loading speed. We do not use advertising trackers or social media pixels, and all fonts and images are served from our own domain. The only things stored in your browser are your light or dark theme and your language choice; see the cookie policy.

Your name, email address and message are needed to answer you. Without them we cannot reply. Everything else is optional.

Why, and on what basis

We use your contact details to answer your question and, if you ask, to prepare a proposal. The legal basis is the steps you ask us to take before a possible contract (Article 6(1)(b) GDPR), and our legitimate interest in replying to messages (Article 6(1)(f) GDPR). Cloudflare processes connection data and anonymous usage statistics on the basis of our legitimate interest in keeping the site available, secure and useful. We do not use your data for marketing, and we do not make automated decisions or profiles about you.

How long we keep it

Messages that do not lead to a project are deleted after 12 months. Client records are kept as long as Belgian accounting law requires. Connection logs at Cloudflare are kept only briefly, under Cloudflare’s own retention terms.

Who else sees it

Only the services that run this site and our email: Google (Gmail, where our email arrives) and Cloudflare (hosting, the contact form and email forwarding). They act as our processors under a data processing agreement and may only use your data on our instructions. We do not sell or rent your data.

Outside the EU

Some of these providers are based in, or use servers in, the United States. Where your data leaves the European Economic Area, the transfer is covered by the EU-US Data Privacy Framework or by the European Commission’s standard contractual clauses.

Security

The site is served only over HTTPS, and access to messages and client records is limited to the people at Viribus who need it.

Your rights

You can ask to see, correct, delete or move your data, ask us to limit how we use it, or object to processing based on our legitimate interest. Write to [email protected]; we answer within one month. If you are not satisfied with our answer, you can complain to the Belgian Data Protection Authority (dataprotectionauthority.be), Rue de la Presse 35, 1000 Brussels.
